Coaches Connect LLC (“Coaches Connect,” “we,” “us,” or “our”) provides business consulting, education, implementation support, and software for baseball and softball coaches, training facilities, athletes, and families.

This Privacy Policy explains how we collect, use, disclose, retain, and protect information through:

• coachesconnecthq.com and related webpages;
• our consulting, licensing, coaching, and educational services;
• sales calls, forms, emails, messages, and recorded meetings;
• the Coaches Connect web and mobile applications; and
• related services, integrations, and communications.

1. INFORMATION WE COLLECT

A. Website, lead, and consulting information

We may collect:

• name;
• email address;
• telephone number;
• company, facility, or business name;
• business revenue, goals, staffing, operations, and marketing information;
• information submitted through forms, applications, surveys, or scheduling tools;
• call and meeting recordings, transcripts, notes, and communications;
• billing and transaction information;
• testimonials, feedback, and program participation information; and
• device, browser, IP address, referral source, and website-usage information.

B. Coaches Connect application information

Depending on the user and services used, the application may process:

• facility business information;
• facility-owner and staff names, emails, roles, and permissions;
• athlete names, emails, dates of birth, and parent or guardian emails;
• height, weight, athletic-performance measurements, workout results, and training history;
• memberships, purchases, booking history, attendance, and payment records;
• facility-created waiver text and electronic-signature records;
• typed signer names, drawn signatures, timestamps, and acceptance records;
• messages between athletes, parents, coaches, and facility staff;
• training programs, exercises, warmups, programming rules, and coach-created content;
• information submitted to optional artificial-intelligence features; and
• audit, security, device, IP-address, and authentication records.

Payment-card numbers are processed by Stripe and are not stored on Coaches Connect servers.

C. Cookies and tracking technologies

Our website may use cookies, pixels, analytics, embedded media, and similar technologies to:

• operate the website;
• remember preferences;
• understand website use;
• measure advertising and conversions;
• identify referral and attribution sources;
• prevent fraud; and
• improve our marketing and services.

Depending on the tools currently enabled, these technologies may be provided by Shopify, Meta, Google, Hyros, Vimeo, iClosed, and other service providers.

Some privacy laws may define certain advertising or cross-context tracking activities as “sharing” personal information, even when no money is exchanged.

2. HOW WE USE INFORMATION

We may use information to:

• operate and improve our websites, consulting services, and software;
• respond to inquiries and schedule calls;
• provide purchased services and customer support;
• onboard facilities, coaches, athletes, and parents;
• process bookings, memberships, purchases, refunds, and subscriptions;
• collect and preserve electronic agreements and facility-provided waivers;
• communicate about accounts, payments, scheduling, training, and services;
• personalize training and software functionality;
• generate coach-reviewed draft training programs through optional AI features;
• analyze marketing and website performance;
• prevent fraud, abuse, and security incidents;
• comply with legal and accounting obligations;
• enforce our agreements; and
• establish, exercise, or defend legal claims.

3. FACILITIES AND ATHLETE INFORMATION

Training facilities use Coaches Connect to provide services to their own athletes and customers.

Facilities determine the training services they provide, the information they request from athletes, their membership terms, and the content of their liability waivers. Coaches Connect provides software used to collect and store that information.

Depending on the activity and applicable law, Coaches Connect and the facility may each have separate privacy responsibilities. Questions about a facility’s training services, waiver, membership, refund policy, or use of athlete information should also be directed to that facility.

4. PAYMENTS

Facilities connect their own Stripe accounts. Athlete-facing payments are generally processed as direct charges on the applicable facility’s connected Stripe account. The facility is generally the seller and merchant of record for its training services.

Coaches Connect may receive a platform or application fee from transactions processed through the software.

Stripe processes payment cards, payment credentials, fraud-prevention information, refunds, and disputes under Stripe’s own privacy practices.

Coaches Connect separately uses its own Stripe account for purchases made directly from Coaches Connect, including consulting services or optional software subscriptions.

5. CHILDREN AND PARENTAL CONSENT

The Coaches Connect application is used by facilities that train minors, including children under 13.

We require date-of-birth information to determine whether parental involvement is required.

For children under 13:

• the account remains restricted until parental consent is completed;
• only limited information needed to identify the athlete, facility, and parent may be collected before consent;
• a parent or legal guardian receives a secure consent link;
• the parent receives notice describing the information collected and how it is used;
• the parent must affirm their authority and provide affirmative consent;
• the parent types their name and provides an electronic signature;
• the facility’s liability waiver remains a separate agreement;
• a confirmatory email is sent after consent; and
• the parent may request access, correction, withdrawal of consent, or deletion.

We do not knowingly make children’s personal information publicly available.

Directly identifying information about children under 13 is not sent to Anthropic through the AI Coach feature. Where permitted after parental consent, the feature may use a generic athlete label, age, and limited aggregated athletic-performance information without the child’s direct identifiers.

Parents may contact us using the information below to review their child’s information, revoke consent, or request deletion.

6. ARTIFICIAL INTELLIGENCE

The optional AI Coach feature creates draft training programs for human coaches.

AI-generated material is not automatically delivered to athletes. A coach must review, edit, approve, and accept responsibility for a program before it is assigned.

Information sent to the AI provider may include coach-created exercise libraries, programming preferences, prior programs, and limited athlete information needed to create the requested draft.

Users must not submit unnecessary medical diagnoses, treatment instructions, payment information, waiver content, or other highly sensitive information into AI prompts.

AI output is not medical advice and must not be used to diagnose or treat an injury or health condition.

7. HOW WE DISCLOSE INFORMATION

We may disclose information to:

• facilities and their authorized staff;
• Stripe for payment processing;
• Supabase for database, authentication, and file storage;
• Vercel for hosting and server infrastructure;
• Resend for transactional email;
• Anthropic for optional AI Coach processing;
• Shopify and website-service providers;
• scheduling, call-recording, video, analytics, advertising, and attribution providers;
• professional advisers, insurers, accountants, auditors, and legal counsel;
• government authorities when legally required; and
• parties involved in a merger, financing, acquisition, reorganization, or sale of assets.

Facilities may configure their own outbound webhooks or integrations. Information sent to a facility-selected destination is controlled by that facility.

We do not sell personal information for money.

8. RETENTION

We retain information only for as long as reasonably necessary for the purposes described in this Policy, including providing services, maintaining business and financial records, resolving disputes, enforcing agreements, and meeting legal obligations.

Different records may have different retention periods.

For example:

• active account information may be retained while an account is open;
• signed waivers and agreement-acceptance records may be retained for applicable legal and dispute periods;
• transaction and tax records may be retained to satisfy accounting requirements;
• preliminary information collected to obtain under-13 parental consent will be deleted if consent is not received within a reasonable period;
• unnecessary child information will be deleted or anonymized when no longer reasonably required; and
• backup copies may remain temporarily until overwritten under normal backup procedures.

Account closure does not necessarily require immediate deletion of every legal, financial, security, or dispute record.

9. ACCOUNT DELETION

Application users may initiate an account-deletion request through the application or at:

app.coachesconnecthq.com/account-deletion

Deletion requests may also be submitted to support@coachesconnectllc.com.

We may verify the requester’s identity before processing the request.

When processing a request, we may delete or anonymize active profile and training information while retaining records reasonably necessary for legal compliance, accounting, fraud prevention, signed-waiver evidence, dispute resolution, and enforcement.

10. YOUR PRIVACY RIGHTS

Depending on where you live, you may have rights to:

• request access to personal information;
• request correction;
• request deletion;
• obtain a portable copy;
• withdraw consent;
• opt out of marketing communications;
• opt out of certain targeted advertising or sharing; and
• appeal a denied privacy request.

We may request information needed to verify your identity and authority.

11. MARKETING COMMUNICATIONS

You may unsubscribe from marketing emails using the unsubscribe link in the message.

You may opt out of marketing text messages by replying STOP.

We may continue sending transactional or service-related communications, including account, payment, security, scheduling, waiver, and legal notices.

12. SECURITY

We use administrative, technical, and organizational safeguards intended to protect information.

No system is completely secure, and we cannot guarantee that unauthorized access, loss, or misuse will never occur.

Users are responsible for protecting their passwords and account credentials.

13. THIRD-PARTY LINKS AND SERVICES

Our websites and applications may link to third-party websites, embedded videos, payment services, scheduling services, and other platforms.

Their privacy practices are governed by their own policies. Coaches Connect is not responsible for third-party privacy or security practices.

14. CHANGES TO THIS POLICY

We may update this Privacy Policy as our services, technology, or legal obligations change.

We will post the revised Policy with a new effective date. Where required, we will provide additional notice or obtain additional consent.
